The successful candidate will be responsible for preparing any and all written communications / correspondence on behalf of the CEO, which would include standard letters as well as other written content, ranging from monthly Directors Reports to content for Power Point presentations and Business Plans, etc. It is vital, therefore that candidates have an excellent command of the English language and can apply initiative and insightful understanding of projects and business requirements and undertake a certain amount of research as and when necessary, in order to develop a minimal brief into a substantial, effective and meaningful document / correspondence. In addition, the incumbent will offer support to the CEO as a process and administrative assistant - rather than a standard secretarial / PA function - by helping to ensure that all of the Group companies, within their area of responsibility, comply with laws and regulations that have been enacted for the industries where they engage in business activities and help ensure that all processes and requirements are as they should be and are in good order, relative to the many and varied duties and responsibilities that the CEO has. This might include some corporate governance compliance as pertains to Directorship duties; minutes; contractual documents and statutory processes and returns. Duties - • Preparing and drafting original correspondence • Preparing and drafting written communications • Supply of written content for various applications, as directed and or requested • Completion of statutory returns, such as those to be submitted to regulatory bodies • Conduct due diligence on contractual documents to ensure credibility of the company contracts structure and content; management system and company registers and files • Ensure that the CEO conducts relevant business processes in such a way as to be a model of compliance with legal and regulatory requirements and acceptable standard business practice • Establishment, maintenance and archiving of company documentation and company records • Continuous knowledge gathering and learning; staying constantly updated or even ahead of anticipated changes, growth and requirements ; providing timely information and data as required • The role involves knowing all parts of the business inside out - sales, marketing, operations, legal, customer service, etc • Legal secretarial functions - the ability to research and establish correct requirements in regards to paralegal functions Requirements - •Excellent verbal and written communication skills •An excellent command of the English language •Highly articulate and have excellent communication skills, in English •Research skills and ability •Excellent interpersonal and communication skills •Some Legal background / experience and knowledge or proven ability to research requirements as and when needed •PA / Secretarial / Administrative experience •High regard for confidentiality / Respect for confidential information •Attention to detail •Good organisational and planning skills •Ability to work under pressure and meet deadlines •Analytical •Initiative in terms of problem solving •A pleasant and calm demeanour •Methodical and meticulous •Team worker •A logical thought process while retaining an ability to “think outside the box” •Ability to multi-task and a constant interest in learning •Resilience with the capacity to work independently •Knowledgeable and comfortable with dealing with change in industry and job requirements •High energy, resourceful and proficiently in planning/organizing workload •Passion for doing things right and high level of professionalism and service ethic •Reliable, have integrity and display a professional approach •Conscientious •The ability to deal with conflict •Able to take initiative •Well organized, delivery and deadline focused •Proactive •Good business acumen •The ability to take in large amounts of complex information •Computer literacy •Internet literacy and knowledge •Comfortable in a pressurised environment with strict deadlines •Value and suit a high performance culture •Suit a highly regulated environment Send CV to monica at chesspnl@mweb.co.za |
